Tools menu
- File
- The menu command opens a sub-menu for file-related tasks. The command is shown only when there's a Files tab on an object window.

File-related commands are also on the context menu of the Files tab of the item window. Right-click to open the context menu. Right-clicking on a file will display different options than right-clicking in the empty area of the files list.
- File | View File
- Launches the selected file in the application associated with the current file's type.
- File | Copy Library File...
- Provided that you have appropriate permissions to export data from PDXpert, this command opens the Save File dialog to allow you to copy a file from the data library onto your computer.
- File | Check Out and Lock...
- Allows you to check out a copy of an unreleased revision file for modification. No other user can check out that file until you've checked your copy back into the data library.
- File | Check In and Unlock...
- You can return a modified file that you've previously checked out, and release it for checkout by another user.
- File | Release File Lock
- This will release a data file that was previously checked out, without requiring the file to be checked back in, or in any way affecting the file stored in the data library.
- File | Permissions...
- Other users can view, copy or modify the current file depending upon the values set in the access permissions checkboxes. The default values are specified by the administrator in the System Rules.
- File | File Views
- You can choose whether you want the Tiles (icon with filename and size), List (filename only) or Detail (filename, size, dates, and checkout status) view.

- File | Delete File
- This removes the selected file from the file list, and deletes the file from the library.
- File | Add New File...
- This opens the Add File to Library dialog. You can browse to the file that you want copied into the library, and then click the Open button.
- Report/Export Wizard...
- Opens the Report/Export Wizard for exporting data files and running specialized reports using members of the Data Transformations collection.
- Markup Wizard...
- Opens the Markup Wizard for revising the list of child items that are shown on groups of parent item structures.
- Preferences...
- Opens the Preferences window, which lets you manage personal settings.
- Passwords...
- Opens the Set Password dialog, which lets you change your account password.
Administrator tools
Users with a Role that has been assigned the Manage as administrator permission can use the following menu commands.
- System Rules...
- Opens the System Rules dialog, which lets administrators manage the application's overall behavior. See the help topic Contents > System Rules reference.
- Email Management...
- Opens the Email Management dialog, which lets administrators manage the outbound email notification settings and queue. See the help topic Contents > How to perform other tasks > Managing email notifications.
- Index Status...
- The Index Status window displays the status of each group of indexed objects (documents, parts, change forms and file attachments). Although the index is maintained automatically, you can click the Reindex button to delete the current index and start the indexing process.
- Re-indexing the database is relatively quick, but indexing a very large file library takes significant time. The previous file index is deleted and then recreated file-by-file. User search results may not include file contents for quite a while.
- Software License Key...
- To enter your license key, see the help topic Contents > How to start PDXpert > Entering the software license key.
- User Management...
- To manage your user accounts, refer to the help topic Contents > How to perform other tasks > Managing user accounts.
- AVL Export
- The AVL (approved vendor list) exports a file containing a listing of all partner sources; which items use each source; and the assemblies those items appear on.
- This can be a very large and complex data set. After you identify where to save the file, it may take several minutes to complete the operation.
- External Data Importer...
- To perform bulk imports and updates of your part and document records, refer to the help topic Contents > How to report, import & export > Importing & updating items.
- Update Currencies...
- You can update the exchange rate for all members of the Currencies collection. The default member of the collection will always be assigned a value of 1.
- PDXpert uses a free public internet service to obtain recent exchange rate data. The accuracy and reliability of this service may vary. If you require a specific value or accuracy, then you should manually edit an exchange rate.
- Recursion Assistant...
- The Recursion Assistant examines your database for cyclic errors on structure and source lists. Refer to the help topic Contents > How to perform other tasks > Using the Recursion Assistant.
