Using the Report/Export Wizard

Open the window by selecting Tools | Report/Export Wizard...

In addition to the reports that are available on many of the application's context menus, you can export data in common file formats (Excel XLS, Access MDB, etc.) and print specialized reports using the Report/Export Wizard.

  1. Open the Tools menu and select Report/Export Wizard... When the Report/Export Wizard opens, click on:

    • Export data in a PLMX file provides an export file in PLMX format, which contains both item data and file attachments in a single compressed file.

      1. From the Item Explorer's Search or Previous tabs' items list, drag an item to be included in the PLMX export and drop it onto the Report/Export Wizard panel.

      2. Click on the Finish button. The Save As dialog opens, and you can name the file and select the folder where the PLMX file will be saved.

        You can also save an XML-only version of the PLMX file, which doesn't include the file attachments and is not compressed. When the Save As dialog is displayed, select XML Data (*.xml)  from the Save as type: dropdown list.

    • Export data in an XML file is a structured data file that's most useful for computer-to-computer communications of item data.

      1. Select a dataset to export from the list of Data Transformation collection members. Click the Next button.

        Some of the datasets listed may be optimized for reports, but they can still be used as the basis for an export.

      2. From the Item Explorer's Search or Previous tabs' items list, drag an item to be included in the XML export and drop it onto the Report/Export Wizard panel.

      3. Click on the Finish button. The Save As dialog opens, and you can name the file and select the folder where the PLMX file will be saved.

        You can also save an XML-only version of the PLMX file, which doesn't include the file attachments and is not compressed. When the Save As dialog is displayed, select XML Data (*.xml) from the Save as type: dropdown list.

    • Export table-formatted data allows you to export data in common Microsoft Office and delimited text files.

      1. Select a dataset to export from the list of Data Transformation collection members. Click the Next button.

      2. From the Item Explorer's Search or Previous tabs' items list, drag an item to be included in the XML export and drop it onto the Report/Export Wizard panel.

      3. Click on the Finish button. The Save As dialog opens, and you can name the file and select the folder where the table-formatted file will be saved. Select one of the file formats from the Save as type: dropdown list, and then click the Save button.

    • Display in a formatted report opens a report that can be printed or exported as Excel XLS or Adobe PDF.

      1. Select a report from the list of Data Transformation collection members. Click the Next button.

      2. Some reports may allow you to select items to include in the report. From the Item Explorer's Search or Previous tabs' items list, drag an item to be included in the XML export and drop it onto the Report/Export Wizard panel.

      3. Click on the Finish button. The Save As dialog opens, and you can name the file and select the folder where the table-formatted file will be saved. Select one of the file formats from the Save as type: dropdown list, and then click the Save button.

  2. When the data has been processed, the Report/Export Wizard window will close.

Many data transformations are designed to export a single revision, often as a specific revision status, such as pending (markup) or released (current). You can choose the revision you want by clicking on the revision dropdown, and picking the appropriate revision. If the data transformation is designed to allow more than one revision, multiple checkboxes can be marked after you drop the item onto the Wizard.
